E-Business Operations Specialist-Normal
Position: Business Operations Specialist, Sweden
Location: Solna
About the Role:
We are seeking a Business Operations Specialist to coordinate, organize, and manage high-quality customer events and educational activities, both in-person and virtual. This role involves collaborating with internal teams and external stakeholders to ensure seamless execution of events such as promotional activities, medical education sessions, advisory boards, sponsorships, and patient organization engagements.
The position reports to the Operational Excellence Lead and is based in our Solna office.
Key Responsibilities:
- Coordinate event planning, logistics, and administration from initiation to completion.
- Collaborate with event owners to define objectives, audience, content, and logistics.
- Manage event administration through internal systems and external vendors.
- Handle communications with attendees, speakers, and partners, including contracts, travel, and payment arrangements.
- Develop and oversee event materials in collaboration with stakeholders and ensure compliance with approval processes.
- Submit event details to relevant trade associations as required.
- Proactively address challenges and escalate major issues or compliance concerns.
- Maintain accurate records and documentation in line with archiving policies.
- Collect and analyze feedback to drive continuous improvement in event execution.
What You’ll Need to Succeed:
- Strong organizational and multitasking skills to manage multiple projects simultaneously.
- A proactive and independent approach with a focus on timely execution.
- Excellent interpersonal and communication skills to foster relationships with internal and external stakeholders.
- A structured and detail-oriented mindset for project management and problem-solving.
- Flexibility, service orientation, and a commitment to continuous improvement.
- Ability to quickly adapt to and master new systems.
Qualifications:
- Bachelor’s degree or equivalent.
- 2-5 years of relevant experience, preferably in healthcare, pharmaceuticals, or a similar industry.
- Proficiency in Microsoft Office.
- Fluency in Swedish and English, both written and spoken.
